A grassroots, non-profit corporation dedicated to providing healthy and educational activities for the families of Bear Valley
The Bear Valley Parent Group seeks a highly motivated, creative and inspired individual to fulfill its very demanding yet
rewarding position of Program Director.
Application Period: January 15 – March 1, 2012
Start Date: March 1, 2012
March – May - Part Time (20 hours per week)
June – September - Full Time (40 Hours+ per week)
Compensation: Starting Wage - $14 Per Hour –
Compensation Negotiable Based on Past Experience and Following Performance Review
Job Description:
The Bear Valley Parents Group (BVPG) Program Director designs, markets, staffs, trains, manages, coordinates and operates
both the highly successful eight week “Bear Valley Summer Day Camp” (BVSDC) as well as the organization’s annual
fundraising bonanza the “Bear Valley Soap Box Derby” (SBD) under the supervision, direction, oversight and guidance of the
all-volunteer Bear Valley Parents Group Board of Directors.
Key Tasks & Responsibilities: Include But Are Not Limited To
Pre Events Preparation - March-May – Part Time
• Initiates intensive Soap Box Derby fundraising campaign to achieve primary fundraising goals prior to July 1
• Initiates Summer Camp marketing campaign outreach, communication with past campers families, new and existing
service providers, schools, media outlets, and more
• Coordinates pre-season publicity of events with social media, website, posters and e-blasts
• Designs Camp activity programming for target camper groups (3 – 5 Cub Camp , 6 – 9 Grizzly Camp , 10+ Kodiak
Camp) seeking to maintain as well as grow the breadth and depth of current activity programming while also
endeavoring to introduce new camp activities based on Board direction and camper feedback
• Designs Camp activity calendars (3 – 5 Cub Camp , 6 – 9 Grizzly Camp , 10+ Kodiak Camp) seeking to provide a
fulfilling and demanding camper day while maintaining structure and cohesion between camp groups and service
providers
• Negotiates service provider relationships, service fees & contracts
• Performs a complete and detailed camp equipment inventory; evaluates and completes all equipment repairs, upgrades
and additions to meet camp operational and attendance needs
• Responsible for advertising for Summer Camp counselor staff through social and academic networks, media outlets, etc
Event Management - June-September – Full Time +
Bear Valley Summer Day Camp
• Recruits, interviews, hires, schedules and trains counselor staff for BVSDC
• Oversees counselor training: Live Scan fingerprinting, First Aid/CPR, annual mandated reporter training, holds pre
camp orientation, provides an overview of grant goals and themes
• Updates BVSDC participant handbook and distributes to campers and families
• Performs regular and frequent email communications with participating families
• Managers all aspects of BVSDC registration forms and fees (online, mail, on site) and coordinates with offsite
registration partners as negotiated
• Maintains detailed and accurate attendance records for reporting to the Board and county administrators
• Coordinates daily summer camp activities for success and to fulfill fiscal year grant requirements
• Oversees counselor staff performance and maintains continuing education and training
• Mediates communication between counselors, families and the Board
• Maintains communication on the status of programs and staff with board member or subcommittees
Bear Valley Soap Box Derby
• Continues strong and directed fundraising campaign striving to meet and/or exceed fundraising goals
• Continues strong marketing and advertising campaign striving to meet and/or exceed attendance and racers
• Secures all event permits, contracts, registrations with local and county agencies and officials
• Secures and manages all borrowed equipment from local and county agencies (BVM, ACCC)
• Oversees inventory and assessment of all race cars with assistance from local experts, initiating and completing repairs
and maintenance of cars before race day
• Coordinates a subcommittee of volunteers to oversee event details for event set up and clean up
• Delegates volunteer staff to ensure all areas of operation are supported
• Secures all outside food, carnival, solar, trash, rental equipment, hay, port-a-potties vendors and equipment
• Coordinates community resources to support event & minimize costs
• Personally Oversees Event Operation before, during and after event to coordinate all volunteers and staff
Other
• Maintains strong community public relations through consistent communication
• Attends monthly BVPG board meetings
• Attends monthly BV Business Association meetings
• Attends County meetings that are applicable to BVPG programs
Skills & Experience Required
• Strong interest in outdoor activities for children and families
• Initiative to work independently and without immediate supervision
• Limited Accounting
• Tracking receipts and expenses to remit to treasurer to stay within budget
• A result oriented self-starter that is reliable
• Ability to multitask and manage multiple projects
• Strong problem solving skills
• Excellent attention to details
• Strong communication skills, both written and verbal
• Positive attitude, team player orientation, ability to build strong relationship with others
• Proficiency with MS Office including Outlook, Word, Excel, PowerPoint, Adobe Photoshop, Adobe Acrobat a Plus
• BS/BA Preferred particularly in Childhood Development, Education or similar study
